Big Screen Studios LLC (“Big Screen Studios,” “we,” “us,” or “our”) is located at 1002 N Central Expressway, Ste 269, Richardson, TX 75080. Information We Collect

We collect the following types of personal information when you interact with our website, booking tools, or services:

  • Contact & inquiry information: name, email address, phone number, company name, and message — collected when you submit a contact or studio-tour request form.
  • Booking & session details: studio preferences, booking history, and scheduling information.
  • Account information: name and email address for members who create an account.
  • Payment information: payments are handled by Stripe through a PCI-compliant hosted checkout. We never receive or store your card number — Stripe processes and stores all payment details on our behalf.
  • Newsletter email: collected only with your explicit opt-in.
  • IP address & diagnostic data: IP addresses are logged temporarily for spam and abuse prevention. If an error occurs while you use the site, error-diagnostic data (which may include a brief session replay) may be captured automatically to help us identify and fix bugs.

How We Use Your Information

The information we collect is used to:

  • Respond to inquiries and studio-tour requests
  • Manage bookings and studio reservations
  • Send transactional emails such as booking confirmations and tour reminders
  • Add booking contact details to our internal scheduling calendar so staff can prepare for your visit
  • Process payments securely through Stripe
  • Maintain member accounts and credit balances
  • Send marketing newsletters (only with your explicit opt-in — see below)
  • Measure and improve site performance via analytics
  • Prevent spam, abuse, and unauthorized access
  • Detect and fix technical errors

Service Providers We Use

We share information with the following trusted service providers, each of whom processes data only as needed to provide their specific service:

  • Clerk — member authentication and account management. Stores name and email for signed-in members.
  • Stripe — payment processing. Handles all card data through a PCI-compliant hosted checkout; we never see or store card numbers.
  • Resend — transactional email delivery (booking and tour confirmations) and newsletter audience management for subscribers who have opted in.
  • Google Calendar — internal scheduling. When you submit a booking or tour request, your name, email, and phone number are written to a staff-only calendar event so we can prepare for your visit.
  • Google Analytics— site usage metrics. Collects usage data about how visitors interact with the site, such as pages viewed, device and browser information, approximate location, referral source, and interaction events. We use this information to understand and improve the site. Where required, analytics cookies are disabled unless you accept non-essential cookies. See “Cookies & Tracking” below.
  • Google Fonts & Adobe Fonts — web font delivery. Your browser makes a request to their servers to load the fonts used on this site.
  • Neon — database hosting for booking records, member accounts, and credit balances.
  • Vercel — website hosting and content delivery network (CDN).
  • Upstash — rate-limiting. Briefly stores IP addresses to prevent abuse of contact and booking forms.
  • Sentry — error monitoring. If an error occurs on the site, Sentry may capture diagnostic data, which can include a brief session replay, to help us identify and fix the issue. Session replay is configured to mask and suppress sensitive fields and is used only for debugging, security, and performance purposes. We do not intentionally capture payment card numbers, authentication secrets, government identification numbers, or the contents of private messages through session replay.

These providers are not permitted to use your information for their own marketing purposes and are contractually obligated to protect your data. We do not sell your personal information to any third party.

Cookies & Tracking

Our website uses cookies and similar tracking technologies. Specifically:

  • Google Analytics sets analytics cookies to help us understand how visitors use the site — for example, which pages are most visited and how long sessions last. These analytics cookies are treated as non-essential: the site uses a consent banner that defaults analytics to off, and analytics cookies remain disabled unless you accept non-essential cookies.
  • Clerk sets session cookies to keep you signed in to your member account.
  • Functional cookies may be set to remember your preferences on the site.

A cookie consent banner is displayed on your first visit. You can accept or decline non-essential cookies there. You can also manage or disable cookies at any time through your browser settings. To opt out of Google Analytics specifically, you can install the Google Analytics Opt-out Browser Add-on.

Marketing Emails & Newsletter

We send a newsletter only to people who have explicitly signed up for it. Transactional emails — such as booking confirmations and tour reminders — are not marketing and are sent to anyone who submits a booking or inquiry regardless of newsletter preference.

To unsubscribe from the newsletter, click the unsubscribe link in any marketing email, or email us at hello@bigscreentx.com and we will remove you promptly.

Phone Numbers & Text Messages

If you provide a phone number, we use it to coordinate your inquiry, tour, booking, membership, or facility access — for example, to confirm scheduling details or reach you about a session.

We send marketing or promotional text messages only with your separate express consent. Message and data rates may apply. You can reply STOP to opt out of non-essential messages at any time, and reply HELP for assistance. Opting out of non-essential messages does not affect transactional messages related to a booking, tour, or account you have requested.

If you create a member account, we (through our authentication provider, Clerk) may also send one-time passcodes by text to verify your identity and help keep your account secure. These verification messages are service messages, not marketing, and are sent only when you request a code or sign in.

How We Protect Your Information

We take reasonable steps to protect the information we hold. Data transmitted between your browser and our site is encrypted in transit using TLS (HTTPS). Access to personal data is limited to staff and service providers who need it to perform their functions. We use reputable, security-focused third-party processors (listed above) rather than building our own payment or auth infrastructure. No method of transmission or storage is 100% secure, but we work to minimize risk through the measures described here.

Data Retention

We retain personal information for as long as needed to fulfill the purposes described in this policy, comply with our legal and tax obligations, and resolve disputes. Our general retention defaults are below. Actual retention may be shorter or longer in a specific case where the law requires it or where information is needed to resolve an ongoing matter.

  • Inquiries and tour requests: approximately two (2) years from your last contact.
  • Booking and transaction records: approximately seven (7) years, to meet tax, accounting, and dispute-resolution requirements.
  • Membership and account records: for the life of the account plus a reasonable period afterward.
  • Newsletter subscriptions: until you unsubscribe.
  • Analytics data: in accordance with our Google Analytics retention settings.
  • Error and diagnostic logs: typically thirty (30) to ninety (90) days.
  • Rate-limiting and IP logs: thirty (30) days or less.

Children's Privacy

Our website and services are intended for adults. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected information from a child under 13, we will delete it promptly. International Data Transfers

Big Screen Studios is based in Texas, USA, and all personal data is processed in the United States. If you are visiting from outside the United States, please be aware that your information will be transferred to, stored, and processed here under U.S. law.

Your Privacy Rights

Regardless of where you live, you may contact us to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Delete your personal data (subject to legal retention obligations)
  • Obtain a copy of your data in a portable format
  • Opt out of any sale or sharing of your personal information (we do not sell or share your data, but you may confirm this in writing)
  • Opt out of targeted advertising (we do not use your data for targeted advertising, but you may confirm this in writing)

Texas residents have these rights under the Texas Data Privacy and Security Act (TDPSA). If we deny your request, you may appeal by emailing us within a reasonable time after receiving our denial, and we will respond within the timeframe required by law.

California residents have similar rights under the California Consumer Privacy Act (CCPA/CPRA). We honor these rights for all requestors regardless of state.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. Material changes will be communicated to active members by email.
